Knowledge Manager

Kohn Pedersen Fox Associates, P.C. in New York, NY seeks an organized, detail-oriented, and pro-active Knowledge practitioner with good people skills and 2-5 years of similar experience, ideally in the A/E/C industry.

Undertaking a brand new role at the firm, s/he will champion knowledge collection, organization, and dissemination for the firm, serving as the information custodian and resource for global practice. The Knowledge practitioner will be the firm’s central resource for information so must be able to work and communicate effectively with multiple parties concurrently. As the firm’s “data champion,” s/he must be exceptionally well-organized, detail-oriented and passionate about information management and knowledge sharing.

We seek a dynamic, creative, communicative, and service-oriented colleague to provide leadership, vision, and oversight of the KPF digital archives and knowledge management across its offices around the globe. The KPF Knowledge practitioner will work closely with colleagues from all the KPF offices to ensure that the collective key working knowledge of the company is captured and remains current and relevant to each global area as well as to the firm as a whole. The KPF Knowledge practitioner will also work closely with KPF’s web and database technology specialists to fully integrate the knowledge capture onto the intranet as the best way to disseminate shared information across the global company. 

Tasks and Responsibilities

  • Managing the project database and both the digital and physical resource libraries, establishing protocols, systems and policies for data collection, cataloguing and curation and ensuring relevancy, timeliness and accuracy of data
  • Managing project data archiving, establishing protocols, systems and policies for archiving including conversion from paper to digital and extraction of data and content
  • Chairing intelligence committees, coordinating engagement and overseeing production of deliverables (ex. guides, benchmarks, precedents, etc.)
  • Training staff in knowledge management protocols and systems and providing ongoing support as needed
  • Harvesting data, information, content and assets including post-occupancy data and metrics
  • Developing systems (announcements, seminars, posts, etc.) for pro-active internal dissemination of information
  • Performing research and analysis (internal and external data) for projects and pursuits including trends, benchmarks, best practices, etc.
  • Contributing to white papers, case studies, and seminars 

Skills and Experience

  • Excellent oral and written communication skills
  • Comfort with various software applications and strong overall technology skills
  • Excellent interpersonal and organizational skills
  • Experience with web and database technologies
  • Familiarity with data visualization and analytics approaches useful
  • Some programming skills desirable (Java, XML, AngularJS, SQL)
  • Deep knowledge of data management, organization and cataloging structures 

Ideal candidate has an MLS or related Master’s degree from an accredited program and professional experience working with data, document and digital asset management systems, knowledge capture and information management, web and database technologies. Familiarity, if not proficiency, with programming is preferred.

Previous experience in the architecture/engineering/construction industry and familiarity with the architectural profession’s concepts, practices and procedures is ideal.

Lead Document Controller

Job Position:  Lead Document Controller in architect’s office for large scale, full service project in NYC currently under construction. Full time position, full benefits offered.  Available immediately.

Responsibilities (spanning across multiple construction packages):

  • Manage organization of large drawing sets, specifications, reports, submittals, etc.
  • Issue and receive files to/from the design and construction teams
  • Use construction administration software for submittals and RFIs
  • Maintain record logs for drawings, submittals, and RFIs
  • Construction document updates and modifications
  • Liaise with client, contractor, and consultants as it relates to document control.  
  • Liaise with printer for major issuances
  • Maintain project-wide team directory

Potential additional tasks:

  • Light drafting (Revit training provided)
  • Drawing conversion between drafting programs
  • Review product data submittals for compliance w/ specification.

Marketing and Business Development Analyst

Responsible for drafting, preparing and developing proposal and presentation efforts including coordinating specialty consultant materials and proposal contributions, assembling project profiles and team information, layout and final production. Translate complex concepts into clear and compelling proposal language within the Architecture/Engineering/or Construction industry. Update/Maintain various marketing logs and electronic databases using Deltek Vision. Desktop publishing software, such as Adobe InDesign CS6 (or later versions), Adobe Photoshop, and Microsoft Office Suite is utilized for Production in Marketing collateral. Manage the two-way exchange of information and documents with clients, vendors and consultants, through the use of Newforma Project Center software. Utilize Open Asset software in the selection and application of appropriate project imagery in marketing collateral. Work closely with senior leaders, including Director of Marketing and firm’s Principals/Directors to create persuasive and tailored proposals for professional services, presentations, and marketing material to facilitate company’s marketing process and maintenance of systems and tools to promote the overall efficiency and effectiveness of the firm's marketing efforts. Develop Architectural Request for Qualifications/Request for Proposal (RFQ/RFP) and performing all aspects of proposal assembly. Facilitate marketing proposal process to position firm within the market and respond to multiple concurrent new business pursuits, including coordinating and contributing to writing, formatting, proofreading, and editing/review to ensure persuasive messages. Research/gather firm-wide project information/data for the marketing process. Complete government forms, client questionnaires and qualifying statements as required. Interface with both internal and external technical personnel and coordinate submissions as a Prime Firm, Sub-consultant, Joint Venture or consortium.
